The client is a leading global pharmaceutical company with a significant presence across 80 countries, committed to providing high-quality healthcare solutions. As a user of QEdge TMS (Training Management System), the client sought to enhance their training management process with customized features to meet specific operational needs and improve training execution across departments.

How Our Advanced TMS Capabilities Strengthened Our Existing Client’s Operations

The Hassle

Although the existing TMS provided a solid framework for managing employee training, the client required additional functionalities to further streamline training processes, improve training engagement, and ensure better adherence to timelines. The goal was to empower both trainees and trainers to have more flexibility, ease of access, and control over training schedules and records.

Edging out with QEdge TMS

To address these needs, QEdge TMS was augmented with several custom features, each tailored to ensure a more effective and efficient training experience. Some of the key features introduced included:

  • Trainee Feedback: Trainees can now provide feedback and rate the training documents, allowing for continuous content improvement based on user input.
  • Open Book Quiz: During quizzes, reference documents are displayed on the side screen, enabling trainees to review relevant materials while taking the test.
  • Enhanced Audit Trail: The TMS was enhanced to track detailed audit trails for each employee, including which trainings they attended, what tasks they are qualified to perform, and their current progress in training.
  • Job Code System: The new job code feature allows users to create specific training groups based on roles and responsibilities. This customization enables smooth execution of training with a tailored approach for each trainer and trainee.
  • Trainer Control Over Training Roles: Trainers now have the option to define who will deliver the training and who will only read and pass it, based on the trainee's role, scope, and experience.
  • On-Desk Training Sign-In: Trainees no longer need to sign in through the trainer's system. Instead, they are notified within their own TMS system where they can electronically sign in and confirm their participation.
  • Department Planner : A new planning feature allows all departments to schedule and track SOP training or retraining for their teams, ensuring smooth execution according to timelines.
  • Self-Training Deadlines: For self-paced training, the system now includes a deadline feature that ensures timely completion based on priority, reducing the need for follow-ups or reminders.

Training execution time decreased, with smoother, more organized processes and minimal administrative effort. 

Enhanced Compliance

The new planning and tracking features allowed departments to better align training with operational needs, improving regulatory compliance.

Reduced Retraining Needs

The introduction of the open-book quiz feature led to better knowledge retention, significantly reducing the number of retraining sessions required. 

Optimized Training Requirements

With improved quiz effectiveness, the overall number of training sessions needed was reduced, allowing for a more focused and efficient training strategy. 

Improved Training Completion

The deadline management for self-training led to higher completion rates and reduced the need for follow-up reminders.
